PhD/MPhil Thesis submission and Examination Process
PhD/MPhil Examination Process:
The School PG Office is responsible for every aspect of PhD/MPhil thesis submission and examination administration.
You are required to submit your thesis within the prescribed period of study for your degree programme or within your submission pending period (ie if you are a full-time PhD student this will be within 4 years of initially registering on your programme).
If you require guidance on your final submission date you should contact your PGR Administrator.

I'm almost ready to submit my thesis - what do I need to do?
You need to complete and submit, to your PGR Administrator, a formal Notice of Submission at least six weeks prior to the date you intend to submit your thesis. Failure to submit your Notice of Submission on time will result in a delay in your thesis being examined.
You should read the Notice of Submission form in conjunction with the University Presentation of Theses Policy. It is vital that you follow the instructions in the Presentation of Theses Policy as failure to do this may result in your thesis being rejected for examination.
Training for your viva - You may find it helpful to have a look at the courses offered by the skills training team in Faculty. You book these courses via the Training and Development Index in Eprog (For example they offer a course called "Viva Survivor on 31 November 2011).

You submit two bound copies of your thesis to the PG Office and one electronic copy of your thesis via the student portal not less than six weeks from the date of the Notice of Submission.
You submit your electronic copy of your thesis in accordance with the above Policy. For your convenience here is a link to the escholar website http://www.manchester.ac.uk/escholar/etd.
When your thesis has been examined, and if necessary corrections carried out to the examiners satisfaction, two further final hard bound copies of your thesis should be submitted to the PG Office as well as one final electronic copy of your thesis to the student portal.
Please note that the submission of thesis electronically via the University’s student portal is new at the UOM and is a requirement for students in SoSS who submit their Notice of Submission from 1 April 2010.

I want to submit my thesis early - can I?
If you wish to submit a thesis more than 3 months before the end of their PhD degree (or 6 months if part-time) you will require the permission of the supervisory team and the School. Permission will only by granted up to one year before the end of the PhD degree for full time students, and 2 years before the end of the PhD degree for part time students. Students who are granted permission to submit early, will still be required to pay full fees for the degree period for which they originally registered. I am re-submitting my thesis - how do I do this?
You pay your resubmission fees and then submit another "Notice of Submission". You must include evidence (a receipt) that you have paid your resubmission charges when submitting your Notice of Submission form to the PG Office.
You should adhere to the Resubmission and Re-examination of Postgraduate Research Degrees Policy which is a continuation of the main University of Manchester policies on postgraduate research degree examinations entitled Examination of Doctoral Degrees Policy and Examination of Master or Philosophy Degrees (MPhil) Policy. It specifically relates to resubmission and re-examination.
To pay your resubmission fees you complete a Resubmission Charge form and take this along with your fee to the Cashiers’ Office on the ground floor of the John Owens Building.

I have not submitted my thesis by my due date - what can I do?
We do not accept submission of theses beyond the prescribed period of study unless an extension has previously been agreed.
Before requesting an extension to your submission date it is vital that you read the Policy on Circumstances Leading to Changes to Postgraduate Research Study so you can ascertain if you satisfy the criteria to be considered for an extension. Please note that you must already be registered for your Submission Pending year to be eligible to apply for an extension to your submission date.
You should complete this form in consultation with your Main Supervisor when you want to request permission to submit your thesis after your agreed final submission deadline. Normally, all first requests for extensions are considered by the School Postgraduate Research Programmes Committee. All subsequent requests are considered by the Faculty Postgraduate Research Programmes Committee. Candidates who submit their thesis late will be subject to a late submission fee of £500.
Should the PGRC agree that the thesis be forwarded for examination a Late Submission Fee of £500 will be payable by the student before the examination can commence.

I want to submit my thesis in an Alternative Format - how do I do this?
If you wish to submit your thesis in an alternative format, as permitted in the Presentation of Thesis Policy and in the regulations you will require permission from the School prior to doing so. You and your supervisor should provide a written request, outlining your reasons for the request to the School for approval.
